Responsibilities

  • The primary purpose of this position is to lead, manage and administrative the operations, maintenance and upkeep of the common property and facilitates of completed commercial projects plus other tasks that the Management believes are within the abilities of the holder and that fit with the Company’s strategies as circumstances dictate.
  • Overseeing the operations and maintenance of the assigned commercial project.
  • Conducting and implementing training for all levels of subordinates.
  • Ensuring that company policies and QMS/SOP procedures are followed by all levels subordinates including technicians.
  • Budget preparation, monitoring of operations expenses and reviewing of service charge/management fund/building maintenance fund rate when there is a requirement.
  • Maintaining up to date accounts as per frequency set, collecting and administrating all monies due for payment to Developer/JMB/Management Corporation from individual owners/tenants/defaulter.
  • Supervising the Building Executive who handles the daily collection and petty cash transactions and ensuring that all collections and transactions are properly maintained and recorded.
  • Maximization of management funds for managing, administering, maintaining and regulating the use of enjoyment of the common recreational facilities and to account for such expenses.
  • Monitoring and administering common activities/area rental agreement e.g. advertisement panels, antenna, store.
  • Coordinating, administering, and monitoring promotional activities, commercial filming and functions/events held within the project managed.
  • Ensuring occupants/tenants/resident compliance with established House Rules.
  • Ensuring that minutes of meetings are properly and accurately drafted, especially of the minutes are taken by Building Executive.
  • Organizing promotional functions and activities for the benefit for the occupants’ business operations.
  • Conducting regular walkabouts within the assigned project and identifying areas of concern that affect the quality of the tenants’ business operations and residents’ quality of living.

Requirements

  • Diploma/Degree in Property Management or Building Services or any equivalent discipline.
  • Experience in Specialization below (or equivalent) :
    • Property Management
    • Building Services
  • Minimum of five (5) years’ experience.

Responsibilities

  • Provide technical assistance and technical guidance.
  • Checking, monitoring and overseeing daily operations of all M&E equipment and installation at all managed projects.
  • Advising the team on any defects, faults irregularities and abnormal conditions detected in the M&E system.
  • Ensuring that all electrical installations are compliance with the Electrical Inspectorate Act 1990, Electricity Regulations 1994 and other relevant authority’s requirement.
  • Supervising service providers works and evaluating their performance.
  • Answering service calls from unit residents /occupants/non-resident owner if the needs arise.
  • Assisting in drafting the yearly Preventive Maintenance Programme and Utilities Saving Programme.
  • Recommending on improvements/upgrading to the M&E system.

Responsibilities

  • Assist the Building Manager in managing completed commercial properties as well as to take on other tasks that the Management believes are within the abilities of the holder and that fit in with the Company’s strategies as circumstances dictate.
  • General administration and operations which include ensuring all complaints (verbal or written) by non-resident owners and residents are attended to and resolved expeditiously: implementing decisions made by JMC/Council. Filing of documents and records, monitoring and administering the assets and their usage and other duties necessary for efficient management and operations.
  • Maintaining of up to date accounts and management of collections inclusive of issuance of billings and statement of accounts as per frequency set, collecting and administrating all monies due for payment to developer/JMB/Management Corporation from individual owner/tenants/defaulter(s).
  • Proper handling and safe keeping of daily collection and petty cash float.
  • Preparation and submission of month end closing accounts reports and QMS reports.
  • Handling and liaising with customers on lobby/atrium/courtyard bookings and events.
  • Ensuring that occupants and contracts/service providers adhere to the Rules and by laws.
  • Conforming to and implementing Company Policies, QMS procedures and SOP.
